Who are your caregivers?
Each Event Kids Concierge team is led by a licensed nurse (RN or LVN) and supported by CPR-certified, background-checked caregivers experienced in childcare, early education, or healthcare.
We carefully select and train every team member in safety, child engagement, and event etiquette.
What ages do you care for?
We care for children from infants (3 months) through preteens (12 years).
Our nurse-led teams are equipped to handle feeding, diapering, naps, crafts, and age-appropriate activities for every developmental stage.
How many caregivers will I need for my event?
Staffing is based on children’s ages and care needs, not just total headcount.
We’ll review your guest list and recommend the ideal ratio to ensure proper supervision.
As a general guideline:
- 1 caregiver per 5 children (8+ years)
- 1 nurse per infant (0–12 months)
- 1 caregiver per 2 toddlers (1–3 years)
- 1 caregiver per 3–4 children (4–7 years)

Where does childcare take place during the event?
We tailor the setup to your space.
Care can take place in a designated kids’ room, private suite, or quiet area near the main celebration.
How does the check-in/check-out process work?
Upon arrival, parents sign their children in and provide emergency contact information.
Only the listed guardian can sign the child out.
Each child receives a name tag, and our team keeps a record of where parents can be reached at all times.
What do you bring to the event?
Our team arrives with:
- Sanitizing wipes and first-aid materials
- Name tags and sign-in sheets for safety
- Comfort and nap items as needed
You don’t need to provide anything beyond a safe space for setup.
How do you handle emergencies?
Your lead nurse is trained to assess and manage medical situations immediately.
For any minor issues, we notify parents directly.
In the rare event of an emergency, our nurse will coordinate care and contact both the parents and emergency services if necessary.
Are you insured and certified?
Yes — Event Kids Concierge carries full liability insurance and maintains all necessary certifications.
Every caregiver is CPR and first-aid certified, and all nurses hold active California licenses.
How do I book your services?
Submit our online Booking Inquiry Form with your event date, location, and approximate number of children.
We’ll review your details and send a customized childcare plan.
A 25% deposit secures your date, with the remaining balance due one week prior to the event.
When should I book?
We recommend booking at least 2–3 months in advance, especially during wedding season (April–October).
For corporate and private events, we can often accommodate shorter notice depending on availability.
Do you offer late-night or extended coverage?
Yes — we offer late-night coverage (after 10 PM) at a premium rate of +$75/hour.
Overnight or multi-day options can also be arranged for destination and weekend events.
What is your cancellation policy?
Cancellations within 7 days: 50% of total booking due.
We understand plans can change and will work with you to reschedule whenever possible.
Cancellations 30+ days before the event: Full refund of deposit.
Cancellations within 30 days: Deposit is non-refundable.
Do you accommodate children with allergies or special needs?
Yes. Please notify us during booking so we can prepare the right staff and materials.
Our nurses are trained in allergy awareness, medication protocols, and specialized care plans.
Can parents visit or check on their children during the event?
Of course. Parents are always welcome to visit or check in at any time.
We maintain an open-door policy and clear communication throughout the event.
How far in advance do you confirm final staffing?
We finalize your staffing plan once we receive the final child list and ages — usually two weeks before the event — to ensure appropriate coverage.
